RANKWELLDigital
    Managed Review Requests

Build a steady flow of genuine customer reviews, without adding to your workload.

Many satisfied customers are willing to leave a review but never get around to it. Rankwell Digital manages a consistent, professional email process that makes it easy for genuine customers to share honest feedback about their experience.

    Test the process first

See if your customers will actually leave reviews, before you commit.

Before committing to an ongoing monthly service, a limited test can show whether the business has usable customer data, whether the request process operates smoothly and how customers respond.

A one-time set up fee applies. Typically $125 + GST

    The test can include

    • Review of the supplied customer file
    • Preparation of a neutral branded email
    • Connection to the correct Google review page
    • Gradual requests to up to 100 genuine customers
    • Reply routing to the business
    • Monitoring of delivery and review activity
    • A short review of what happened

    The test does not include

    • A guaranteed number of new reviews
    • A guaranteed improvement in star rating
    • Review gating or sentiment filtering
    • Removal of negative reviews
    • Extensive database repair
    • Advanced CRM or software integration
    • An ongoing service commitment

The customer list and proposed approach are checked before the test begins. The test fee and exact scope are confirmed in advance.

After the test, you can continue with the managed monthly service, adjust the process or stop. There is no need to continue if the service does not appear useful.

Good work does not automatically become reviews

Happy customers are often the ones who say nothing.

A customer may be pleased with the work and fully intend to leave a review. Then everyday life gets in the way. Unless asking is timely, easy and consistent, much of the good work completed by the business may never appear in its public review profile.

    Asking gets forgotten

When the team is busy completing jobs, serving customers and handling enquiries, review requests easily fall to the bottom of the list.

    The process is inconsistent

Some customers may be asked personally, some receive a link much later and many are never asked at all.

    Your reviews may look outdated

Even a business with a good overall rating can appear less active when its most recent reviews are months old.

Review Management does not change the quality of the customer experience. It helps the experiences you already provide have a fairer opportunity to be represented online.

    A consistent managed process

Make review requests part of the normal customer journey.

Rankwell Digital sets up and manages a straightforward email process for inviting genuine customers to leave an honest Google review. The aim is to make asking consistent without creating more work for you or your staff.

    Prepare the request

We create clear, professional email wording using your business name and an appropriate review invitation.

    Connect the review link

Customers receive a simple pathway to the correct Google review page without having to search for the business themselves.

    Send requests gradually

Review invitations are scheduled at a sensible pace rather than sending a large customer list all at once.

    Manage customer additions

New customers can be added through an agreed recurring process that suits the systems the business already uses.

    Route genuine replies

The reply-to address can direct customer responses back to the business so genuine questions or concerns are not left with Rankwell Digital.

    Monitor the process

We keep an eye on delivery and review activity and make practical adjustments where the request process needs attention.

The service manages the process of asking. Each customer remains entirely free to review the business honestly — or not respond at all.

    Clear, neutral wording

A polite invitation — not pressure for five stars.

    Illustrative example email
    Subject

How was your experience with [Business Name]?

    Hi [First Name],

Thank you for choosing [Business Name].

If you would like to share your experience, we would appreciate your honest feedback. You can leave a Google review using the link below.

    [Leave a Google review]

    Thank you,

    [Business Name]

The wording is adapted to suit the business and customer relationship, but the invitation remains neutral. It does not ask only happy customers to post, predict their sentiment or require a positive rating.

    Simple for the business

You complete the work. We manage the asking process.

    Step 1

    Agree on the customer process

We confirm when a customer should receive a request, what information is available and the most practical way to provide it.

    Step 2

    Set up and test

We prepare the branded email, review link, sending process and reply routing, then test everything before contacting customers.

    Step 3

    Send the requests

Eligible genuine customers receive a neutral invitation at the agreed time and pace.

    Step 4

    Keep the process running

New customers are added through the agreed method while Rankwell Digital monitors the request system and handles practical maintenance.

    What Rankwell Digital manages

    • Review-request email setup
    • Business-specific wording
    • Correct Google review link
    • Customer-list preparation
    • Duplicate and obvious data-error checks
    • Scheduled email delivery
    • Reply routing to the business
    • Ongoing process monitoring
    • Practical adjustments and support
Work with the systems you already have

You do not need to replace your current software.

The best way to add customers depends on how the business records completed work, appointments or sales. We agree on a practical method during setup.

    Initial customer list

For the initial test or setup, customer names and email addresses can usually be supplied in a simple spreadsheet or CSV file.

    Regular CSV update

If the business does not use a suitable connected system, an updated customer file can be supplied at an agreed interval.

    Automatic email-based handover

Where suitable, an existing invoice or completion email can be copied to a dedicated address so the relevant customer details can enter the request process without manual re-entry.

The exact method depends on the information available in the business's existing system. Complex integrations or extensive data cleaning may require separate assessment.

The business must only provide genuine customer information it is authorised to use for this purpose. Rankwell Digital uses the supplied details to operate the agreed review-request service, not to add customers to a general marketing list.

    No review gating

Management of the request process — not the customer's opinion.

    What the service does

    • Invites genuine customers to share honest feedback
    • Uses neutral, professional wording
    • Gives customers a direct Google review link
    • Sends requests consistently at an agreed pace
    • Allows customers to choose whether they respond
    • Helps the business maintain a regular asking process

What the service does not do

    • Ask only customers expected to leave five stars
    • Screen customers by satisfaction before showing the review link
    • Prevent or suppress negative reviews
    • Write reviews for customers
    • Buy, reward or manufacture reviews
    • Guarantee the number, rating or wording of reviews received
    • Remove genuine negative reviews

A stronger request process can result in positive, neutral or negative feedback. The customer — not Rankwell Digital or the business — decides what to say.

If a customer replies directly with a concern, that message can be routed to the business for a genuine response. This does not remove or replace the customer's opportunity to leave a public review.

    Is this a good fit?

Most useful when good customer work is already being completed regularly.

    Best Fit

    • Established businesses completing regular jobs or appointments
    • Trades and local service businesses
    • Healthcare and wellness practices using appropriately neutral wording
    • Professional service businesses
    • Businesses with genuine customers but inconsistent recent reviews
    • Businesses that can supply accurate customer contact details
    • Owners who want the request process managed for them
    • Businesses prepared to receive honest feedback

    May Not Be a Fit

    • New businesses with almost no completed customer work
    • Businesses seeking guaranteed five-star reviews
    • Businesses wanting to filter out dissatisfied customers
    • Businesses looking to buy or manufacture reviews
    • Businesses expecting the system to repair poor service delivery
    • Businesses unable to provide usable customer information
    • Businesses that do not want genuine customers to review them honestly

If the business is already asking consistently but still receives repeated negative feedback, the customer experience may need attention before increasing the number of review requests.
